Reporting to the Practice Manager, this mission-critical position is responsible for a wide array of departmental administrative tasks and the meticulous review of complex patient appointment sets and associated lab work. You will be the backbone of a busy environment with high patient volume, managing complex tasks while balancing multiple real-time priorities.
Key Responsibilities of the Administrative Lab Services Coordinator
Your role will be dynamic and multifaceted, centered on ensuring efficiency, accuracy, and an exceptional patient experience.
Check-In and Core Administrative Duties
As the Administrative Lab Services Coordinator, you will be the first point of contact for many patients, setting the tone for their visit. Your duties will include:

Verifying complex, multi-disciplinary appointment sets for oncology patients in accordance with strict scheduling guidelines.

Acquiring, entering, and linking verbal lab orders from Providers into our electronic health record system, Epic.

Performing past-pending reconciliations to ensure all necessary lab work is accounted for and processed.

Providing superior customer service to all patients, family members, physicians, and staff in accordance with the DFCI Customer Service Standards.

Performing front desk check-in functions: verifying patient identification, printing wristbands, and assigning Real-Time Locating System (RTLS) badges.
Imaging Services Management
A crucial technical aspect of the Administrative Lab Services Coordinator role involves managing outside medical images.

Creating orders and expertly importing outside images from digital media (CDs) into the Epic system.

Utilizing Picture Archiving and Communication System (PACS) and related software to upload and manage patient imaging data.

Troubleshooting imaging issues and collaborating with the central Imaging Department to resolve them promptly.

Managing the entire lifecycle of patient CDs, from intake to upload completion and final disposition per departmental guidelines.
Patient Experience and Communication

Maintain a high level of competency in all operational systems, including Epic, RTLS, Outlook, Sunquest, and others.

Actively participate in system upgrades and seamlessly transition between normal operations and downtime procedures.

Ensure strict compliance with DFCI policies, HIPAA regulations, and Joint Commission standards.

Recognize emergencies and respond appropriately using standard operating procedures and critical thinking skills.
